How to set co-host controls for Google Meet Video Conferencing in advance.
This desktop browser tutorial will show you how to set up co-host controls for all of your officers in advance, so that starting and controlling the session is not dependent on the availability of the calendar entry creator.
1. In a desktop browser, go to https://calendar.google.com and click anywhere in the blank space on the desired date, then click on “More options” at the bottom of the popup.
2. Click the “Add Google Meet video conferencing” bar.
3. Add the intended co-hosts (enter email addresses or saved contact names) to the Guest List.
4. Click on the gear icon to access the Video call options menu.
5. Leave the Host controls on default Virtual Valley options. Click on the Co-hosts tab, then type the email address or contact name of your intended co-host(s). A drop-down selection menu will appear. Click on the guest name(s) you wish to give co-host privileges.
6. Once all intended co-hosts have been added as such, save the Video call options.
7. This will be your master event to establish a reusable meeting ID. Copy or write down the 10 character meeting ID (xxx-xxxx-xxx). Save the event to the local body private calendar, and follow the [send invitation] prompts. To add or remove co-hosts, you must edit this event.
8. To edit an existing event with a Google Meet video conference on your local body’s public calendar, open the detailed event editing page (fig 1), then click the caron to View conference details.
9. Click the pencil icon to edit the meeting ID, and replace the auto-generated meeting ID with your master event meeting ID. The phone details will automatically update to match those of your master meeting ID. Save the event. Your public event now has the same Google Meet meeting ID and co-hosts as your master event.
